Computer Charges and Rentals

When you call the Technology Resource Center (x4357) with a problem or to request computer service or equipment, we will do our best to let you know if there could be any charges involved with your request. You can also use the list below to help you determine when charges would apply. Since costs can vary, our commitment is to keep you informed so that you can make decisions on the repair outcome and possible costs.

College-Owned or -Issued Computer Equipment

Repair of College-owned or -issued desktop/notebook computers
NO CHARGE for the service below during normal TRC business hours (9 a.m.-5 p.m., Monday-Friday):

  • Testing and troubleshooting the problem(s)
  • Replacement of parts under manufacturer's warranty
  • Loan of notebook computers when your notebook is in for repair (students receive high priority).

CHARGEABLE:

  • Parts not under manufacturer's warranty
  • User damage
  • Notebook batteries no longer under manufacturer's warranty
  • Repair calls handled by an outside vendor
  • Emergency repairs requiring Hartwick staff overtime: $17.30 per 20-minute increment, plus parts and shipping
    Note: You must have budget officer approval before work can begin.

Minor Repair of College-owned printers and FAX machines
NO CHARGE:

  • Testing and troubleshooting problem(s)
  • Minor adjustments and repairs

CHARGEABLE:

  • Parts not covered under manufacturer's warranty
  • User damage
  • More extensive repairs and parts that require an outside vendor to handle the repair

Loaner printers and FAX machines are not available. A new printer or FAX machine can be purchased from the Technology Resource Center, x4357.

Major repairs on FAX machines and laser printers
Due to the special skills required, the TRC has outsourced major repairs on FAX machines and laser printers to local vendors. Local vendors are selected based upon their technical knowledge, customer service, and overall costs. Departments should call the TRC at x4357 to report the problem, and we will arrange the service. However, the vendor's fees will apply and are the department's responsibility.

Upgrades (hardware/software) for College-owned desktop and notebook computers, and printers
NO CHARGE:

  • Pre-purchase advice
  • Installation of items purchased through the Technology Resource Center

CHARGEABLE:

  • Cost of items for upgrades (e.g., hard drives, software, memory, zip drives, etc.)
  • Installation of items not purchased through the Technology Resource Center

Departmental purchases of computer hardware or software
Note: Only supported software should be put on Hartwick-owned desktop and notebook computers. Purchase College-supported hardware/software and bill your account at the actual cost of the items plus shipping charges.

  • The cost of the hardware or software plus any shipping charges

Computer Training
NO CHARGE:

  • On-campus training on use of campus-supported software, including guest visits in classes, small groups, and one-to-one training

 Repair or upgrades of personally-owned desktops, notebooks, and printers
CHARGEABLE:

  • If the TRC can make the repair: $45.00 per 30-minute increment plus parts, shipping, and tax (if applicable). Equipment should be brought to the TRC; otherwise house-call fees apply: $55 per 30-minute increment
  • Even if faculty and staff use their own computers at home for College business, the TRC still considers this a personal computer, and repairs will be chargeable. The faculty or staff person should discuss with his/her supervisor whether the repair cost can be covered by their department or whether the department should provide a Hartwick-issued computer for work at home.

Personal purchases of computer hardware or software
NO CHARGE:

  • Pre-purchase advice
  • Microsoft Office software for installation on your home computer. You can borrow the installation CDs from the TRC desk; however, the version you install at home must be the same version of Microsoft Office product you are using in your office.
    Note: The TRC cannot provide licenses or install CDs for Symantec Anti-virus.

CHARGEABLE:

  • Personal purchases of hardware or software made through the Technology Resource Center are subject to a handling fee, plus shipping and NY State sales tax.
  • The TRC cannot provide licenses or install CDs for Symantec Antivirus. It can be purchased from local stores (e.g., Office Max) or can be purchased and downloaded via the Internet - click here to go to Symantec's products Web page.

Rental of notebook computers and equipment: For visiting students, visiting faculty or staff, or part-time students, students in special programs (e.g., high school students taking classes at Hartwick), or any student not paying full-time tuition, and faculty and staff who may need equipment for special events. Note: Students come first, and availability is limited, so please plan ahead!

    Note: Minimum rental period is one week. The notebook computer comes complete with carrying case, Microsoft Office software, AC/DC adapter, modem, Ethernet adapter, and all cables.

Rental of Computer Labs: Hartwick has two computer labs that are available for rental to outside groups when they are not being used for academic purposes. Please contact the Scheduling Office, x4415, to book dates and other services. If you have questions about the equipment or services in the labs prior to renting, please contact the Technology Resource Center at x4357 or e-mail helpline@hartwick.edu.
