E-mail: Tips and Hints

The following are some tips and hints on using your Hartwick e-mail account

Outlook E-mail:

  • First, some Outlook rules: The maximum message size that can be sent or received is 10MB, which includes all attachments. The maximum mailbox storage on the server is 40MB for students and 80MB for faculty and staff. Automated warnings begin at 25MB for students and 50MB for faculty and staff. These warnings are set low to help you avoid your mailbox's suddenly closing when it receives a large message.
  • Sending an oversize message just fills up your mailbox: When you try to send an oversize message, it will not go to the recipient, but it will still go into your Sent Items folder on the server, immediately decreasing your available mailbox size.  Of course, trying a second and third time to send the message only multiplies the problem. Very large messages also cause problems for the e-mail system in general, as the server attempts unsuccessfully (and therefore repeatedly) to download the message.
  • Do not interrupt the download of e-mail to your computer: Outlook waits for ALL messages to download to your computer before clearing any messages off the server.  Any interruption in the download process will result in Outlook's not clearing any of your messages from the server, and the next time you use Outlook, it will try again to download ALL messages.  This will result in duplicate messages and long download times as your mailbox continues to collect e-mail.
  • Messages in the “Deleted Items” folder are still in your mailbox: Deleting messages causes them to go to your Deleted Items folder on the server, where they still count as part of your mailbox storage limit.  To remove them completely, you also need to delete them from the Deleted Items folder by emptying the folder.
  • Beware of messages hiding in the “Drafts” folder: Messages that you start to create (and save) but do not send are stored in your Drafts folder on the server, taking up space in your mailbox and counting against your storage limit.  A message with, say, a 20 MB attachment saved in the Drafts folder may instantly fill and disable your mailbox on the server (even though you did not send it).

Webmail - An Alternative to Outlook E-mail: If for some reason you cannot use Outlook e-mail, try using Webmail (http://webmail.hartwick.edu).  Webmail is not as feature-rich as Outlook, but it is an alternative if Outlook e-mail is not working.

Important hint for Webmail Users:  Webmail users should keep in mind that, unlike Microsoft Outlook, Outlook Express, and Netscape Mail, Webmail does not move your e-mail down to your notebook or desktop computer--your e-mail stays on the server.  This can be a good thing, because using Webmail allows you to have access to your e-mail from just about anywhere that you can get to Hartwick's webpage.  However, if you use Webmail exclusively, you can go over your quota, causing your e-mail account to stop working if you do not:

  • Delete items that you do not want from your Inbox and Sent Items folder
  • Empty the Deleted Items before ending your Webmail session
