Purpose
Policy #4.24: The purpose of this policy is to collect and preserve materials that reflect the history of John Christopher Hartwick, Hartwick Seminary, Hartwick Academy, and Hartwick College.

Policy Scope
This policy applies to alumni, donors, faculty staff, and friends of Hartwick.

Responsible Office

The Paul F. Cooper, Jr. Archives at Hartwick College exists primarily to collect and preserve materials which reflect the history of John Christopher Hartwick and the educational institutions bearing his name — Hartwick Seminary, Hartwick Academy and Hartwick College.

The Archives will also serve Hartwick College offices by storing non-current, non-permanent records in the Records Center for a specified period of time until they may be destroyed.

Appropriate material accessioned by the Archives includes:

• Minutes, budgets, reports, correspondence and general administrative records from institutional offices, divisions and departments. (Official papers created in the transaction of College business are the property of Hartwick College, rather than of the office, division or department which received or issued them.)

• Records of the Registrar – timetables, class schedules, non-current student transcripts, enrollment reports, graduation rosters, and other regular reports.

• Curriculum and classroom materials which reflect educational activities. Reading assignments, course syllabi, lecture notes, student notes, materials prepared especially for use in Hartwick courses, and other materials reflecting what was and is being taught by the various Hartwick institutions.

• Publications – including those of faculty, staff, students, alumni groups and societies.

• Audio-visual materials documenting the development of the institutions — photographs, films, audio and video tapes, CDs, and others.

• Maps and plans documenting physical growth and development.

• Memorabilia – flyers, brochures, pamphlets, posters for special events. Trophies, banners, and other artifacts.

• Personal papers of college administrators, faculty, students and alumni.

• Articles, books, reports, and speeches by faculty, administration and guest speakers.

To a limited extent this facility serves the regional community as a repository of local material of historical significance. When feasible, storage and preservation will be provided for materials relating to local and regional history. In particular:

• Documentation of 18th and 19th century settlement of upstate New York to compliment the John Christopher Hartwick Papers, the Judge William Cooper Papers, and the Elbridge Gerry Family Papers.
