Spring 2022 Check-In Process

Commuter and Off Campus Students

Check In for commuter/off-campus students will be Saturday, February 5th between 12 p.m.-5 p.m. OR Sunday, February 6th between 10 a.m.-5 p.m. by scheduling an appointment in the Housing Portal

Current In Room Residents for J Term

If you plan to remain on campus during the J Term break, you MUST complete the J Term Break Request on the Housing Portal by 12 p.m. on January 28, 2022. You will then be able to schedule a Spring 2022 Check In appointment for Friday, February 4th between 12 p.m.-5 p.m. in Shineman Celebration Room.

 

If you leave for ANY or ALL of the J Term Break, you will be permitted to return on Saturday, February 5th between 12 p.m.-5 p.m. OR Sunday, February 6th between 10 a.m.-5 p.m. by scheduling an appointment in the Housing Portal

 

Incoming Spring 2022 Residents (who was not in-person for J Term)

You must officially check in for Spring 2022 on Saturday, February 5th between 12 p.m.-5 p.m. OR Sunday, February 6th between 10 a.m.-5 p.m. by scheduling an appointment in the Housing Portal.

Early Arrival Process

The only students permitted to arrive prior to the check-in date at the beginning of each semester are those students whom college departments have requested to be on campus. These may include student athletes for practice, students working on campus, or students on campus for training purposes.
Students who do not get approved to arrive early and arrive prior to their check-in day will be charged $250 per day. There are no early arrivals approved for J Term.

Responsibility of Early Arrivals

Any violation of institutional policy during the early arrival period will subject the student to immediate removal from College housing until the start of the semester, as well as Student Conduct action.
Any student approved to be on the Early Arrival list will be sent home if:
They violate college policy;
They allow their roommate to move in before they are approved to do so;
They are no longer part of the group/team/reason for arriving early; or
They are no longer part of the office/team/group that invited the student to campus early.

College Breaks

October Break

Residence halls will remain open during this break. The Office of Residential Life & Housing will reach out to all on-campus students prior to this break to request information about their intent to remain in any College-approved housing during a College recess (other than between fall semester and January Term). Failure to do so may result in loss of privilege to reside in residence halls, or other College-approved housing, during break.

November Break

November 2021 break is from Wednesday, November 24, 2021 through Sunday, November 28, 2021.

Residence halls will remain open during this break. The Office of Residential Life & Housing will reach out to all on-campus students prior to this break to request information about their intent to remain in any College-approved housing during a College recess (other than between fall semester and January Term). Failure to do so may result in loss of privilege to reside in residence halls, or other College-approved housing, during break.

End of Fall Semester Break

Hartwick College and its on-campus residential communities will close at Noon EST on Friday, December 10, 2021 for the Fall 2021 Semester. All on campus residents received an e-mail to their Hartwick e-mail titled, “Fall 2021 Residence Hall/Area Closing Memo” that lists the instructions on how to depart campus for the end of the Fall 2021 semester.

End of January Term Break

Residence halls will remain open during this break. Spring Break

Move-Out

Closing of the Residence Halls

For the Fall 2021 semester, residence halls close on at Noon EST on Friday, December 10, 2021.
For the Spring 2022 semester, residence halls close on Noon EST on Friday, May 20, 2022.

*Graduating Seniors will be able to stay through Commencement. Residential Life & Housing will be in contact to all graduating seniors prior to finals week to inquire about their plan(s). Residence Halls close for graduating seniors at 8PM on Saturday, May 21, 2022.

Checking Out of Your Room Assignment

To check out of their room assignment, students must either

 

  1. Check Out at Hub Location

Once fully packed, the student must report to a check out hub to turn in their key and check out. An RA will then go to your room to inspect the space once the space is fully empty.

Pine Lake Lodge Office

 

Hours of All Check-Out Hubs:

Monday, 5/16 from 1-8PM

Tuesday, 5/17 from 1-8PM

Wednesday, 5/18 from 1-8PM

Thursday, 5/19 from 1-8PM

Friday, 5/20 from 9AM-1PM

Saturday, 5/21 from 9AM-8PM

A student can go to any check-out hub to hand in their key(s).

2. Complete an Express Check Out
If outside of the hours listed above, a student MUST complete an express check out envelope, which will be available next to the key drop-box on the 4th floor of Dewar (Student Experience). Please note that completing an express check out waives a student’s right to appeal any damage billing.

 

To Complete an Express Check Out:

The student must pack and remove all belongings their room/apartment.

Bring their key to the 4th floor of Dewar staircase landing.

Fill out an express check out envelope.

Put the key in the envelope and drop it into the key drop box.

Graduating Seniors

All graduating seniors and approved students must be out of their Residence Hall by 8:00 p.m. on the day of Commencement.

Extensions

Residence Halls close for NON-GRADUATING seniors on Friday May 20th at Noon.

Residence Halls close for GRADUATING seniors close at 8PM on Saturday May 1st.

 

Residential Life & Housing cannot accommodate ANY extensions and these above times/dates are hard. Students need to find alternative living arrangements off-campus for the night(s) needed – air bnb, friends off-campus apartment, hotel, etc.

Fall 2022 Move-In

Move-in for New Students and Incoming Transfers for the Fall 2022 semester is tentatively scheduled for Wednesday, August 24, 2022. Move-in for Returning students for the Fall 2022 semester is tentatively scheduled for Sunday, August 28, 2022. Due to the ongoing pandemic, details regarding move-in have not been finalized. Please monitor your Hartwick e-mail for the most up to date information regarding the Fall 2022 move-in process.
