Purpose
Policy #6.44: This policy identifies how an employee may obtain paid time-off for qualifying volunteer work.

Policy Scope
This policy applies to eligible regular full-time benefits eligible staff.

Effective July 1, 2023, the College instituted a Volunteer Paid Time Off program as an avenue for the College and its employees to give back to the local community; establish a broader network between the College and community; and allow employees the opportunity to engage in meaningful volunteer work that adds to their sense of satisfaction, fulfillment and belonging.

Employees approved for volunteer time off should wear their Hartwick College attire and/or their College nametag.

All regular full-time benefits eligible staff are eligible for paid volunteer time off after they have completed one year of service with the College and are in good standing.

Eligible staff may use a maximum of two days (7 or 8 hours per day based on position) per fiscal year (July 1 – June 30), with supervisor pre-approval, to volunteer with a local organization or nonprofit within the HartLand Promise region (Otsego, Chenango, Delaware, Herkimer, Madison, Montgomery, Oneida, and Schoharie counties). Any unused volunteer hours do not carryover to the next fiscal year.

Eligible staff are required to complete and submit a Volunteer Paid Time Off request form to their supervisor a minimum of two (2) weeks prior to their requested time off. After the employee completes their volunteer work, the employee will request that a representative from the community organization sign their volunteer request form confirming their volunteer time.

All completed request forms must be submitted to Human Resources promptly so volunteer paid time off accruals may be set up in Paycom for the employee to use.

Approved volunteer paid time off must also be submitted through Paycom, similar to submitting other leave time requests. Supervisors may not approve time off requests that result in negative accrual balances. Contact HR with any questions.
