Hartwick Copy and Mail Services are combined at one point of service location in Clark Hall.

The Center Hours are Monday through Friday, 8:30 a.m. to 5 p.m. (closed for lunch break 12:30-1 p.m.).

Copy Services

Open to students, faculty, staff, and our community members, we accept WickIt, Debit/Credit card, and ApplePay for payment. Our services include: B&W and color prints, scan to email, poster printing, booklets, binding, lamination, and repurposing scrap paper into notepads. Our equipment can also staple, holepunch, and fold your print requests. Our goal is to do our best to complete your print requests correctly and on time. We can work with you on special projects, however, last minute requests can unfairly interrupt or delay services to others and may be subject to additional fees. The Copy/Mail Center must abide by copyright laws.  It is the responsibility of the department or the person submitting materials to be copied to obtain and be able to produce the appropriate permission to allow the Copy/Mail Center to make copies.  For example, all Hartwick photos must have approval from the Communications department before copies can be made.

Unless otherwise specified, all departmental incurred charges will be charged back to the requesting department.
If you are placing a request on behalf of another department and wish for them to be charged instead, you must provide an appropriate corresponding GL and sub account.
Any charges you are requesting outside of your own department must be outlined in detail in email prior to the print job being printed.


  • Please save your file as an Adobe pdf file (*.pdf file extension), to preserve design format, before submitting your request. Mail merge projects are an exception.
  • If you plan to use your own paper, please provide a sample so that we can verify that it will run through the printer without issues.
  • Originals with black text boxes or backgrounds will waste toner. To prevent this, change the text box or background to a lighter shade, such as deep gray.
  • Tests & Exams should be delivered in a sealed envelope, mark the outside of the envelope with “Exam” or email directly to the Copy/Mail room coordinator.
  • For copies of handouts or booklets, please number originals consecutively.

 

Once you have completed the above guidelines, please email your request to copycenter@hartwick.edu with the following information:

  • Ensure the file is attached
  • Your name: We use this to identify your order for pick up
  • Department Charge Account Code or “Self Pay”
  • Paper Size: 8.5×11, 11×17, etc
  • For posters include measurements, maximum 42” wide
  • Paper Type: Standard copy paper, cardstock, etc
  • B&W vs Color: If your original file is B&W, you do not need to specify this.
  • Quantity
  • Double or Single sided
  • Deadline: We typically are able to complete requests within the hour however large volume or extensive projects require at least 48 hours notice.
  • Any additional information, requests, or questions.

Mail Services

Our postal equipment is capable of sealing and stamping envelopes as well as create shipping labels for UPS and USPS packages. Please notify us for large volume mailing projects at least 1-2 weeks in advance as we will need to ensure appropriate staffing and supplies. Please contact us with questions or to plan your next mailing.

*Please note a “delivered” status by the carrier does not guarantee the package is on campus. Some packages are “delivered” to a local post office or carrier warehouse. If you receive a notification from carrier and do not receive an email from the Copy Center within 24hrs, email the Copy/Mail Room Coordinator with your tracking number.

Please review the outgoing mail guidelines below.

  • Provide the departmental account code or department name on the envelope: Not doing so could cause the wrong department to be charged.
  • All mail and packages must have return label, with sender name/dept.
  • Ensure envelopes are facing the same direction.
  • Do not mix sealed and unsealed envelopes: This can cause the machine to jam.
  • Envelope flaps must not be nested with other envelopes or tucked in to itself.
  • Envelope clasps should be taped over.
  • Mailings with glossy effect will require pre-printed postage, please include this information when inquiring about large volume mailings.
  • Mailing pieces larger than; 11.5”L x 6.125”W x 0.016” thick or over 13oz, will be processed as a package. When mailing odd-shaped items, please consult with our department for shipment options.
  • Postage machine is capable of processing certified and return receipt mailings. Return receipts must be filled out by department/individual.
  • Postage machine provides address verification for packages, please double check address prior to drop off. UPS will not accept PO Boxes.
  • We do offer international mail services but are unable to process international packages.
